Documents holds files shared through company categories and files attached to employee profiles. Category visibility determines the general audience, so review Who can see before adding sensitive content.

Set up categories

An administrator opens Settings > Documents and reviews the document categories. Choose Add category or open a category to edit its name and Who can see setting. The setting also applies to documents in employee profiles. Documents sent to someone for signature or acknowledgment remain visible to that recipient.

Add the right kind of file

For a shared file, use Documents and Add shared document, then choose the category and review its audience. For a person’s file, open People > employee profile > Documents and use Add document or Upload file. Check the selected category and employee before saving. The employee profile also lets authorised viewers see document status and download files.

Archive carefully

Archiving a category stops offering it for new documents and removes its shared documents. Files already in employee profiles keep the archived category and its Who can see setting. Review what is shared in the category before archiving it. If a document should be filled from employee data and sent for a response, use a document template instead of uploading the same manual file repeatedly.
