A document template fills employee details into reusable content. Administrators can preview the filled document before assigning it for signature or acknowledgment, which catches missing or hidden values early.

Build the template

Open Settings > Documents > Templates and create a template. Give it a clear name, then write its content in the editor. The editor offers placeholders for employee values; type the placeholder character shown there to choose the value you need. Save the template and check its content before assigning it to a person.

Preview for the employee

Open People > employee profile > Documents and choose Assign template. Select the template and wait for Preview to fill its values. Read the document as the recipient would. A red missing value means the employee profile does not have the required information. Add the value to the profile or choose another template. If a value is hidden from you, ask an administrator to create the document; retrying without access will not fill it.

Choose the response and assign

The template can request a signature or an acknowledgment. Choose the option that matches the document and check the preview once more before assignment. A template with a company signature also needs an employee signature. Acknowledgment is unavailable when the document has signature fields, so choose the response type while designing the template. After assigning, return to the employee’s Documents tab to follow the document status. A document sent to a person to sign or acknowledge remains visible to that recipient even when its category has a narrower general audience.
