Expense categories help employees describe what they are claiming. Spending policies add review context and may warn about a claim without preventing submission.

Keep categories usable

An administrator opens Settings > Expenses to inspect category groups and their categories. Add or edit a category with a name people can recognise while submitting a claim. Before changing an existing category, check how it is used in current expense records so reviewers can still interpret older submissions.

Review spending rules

Use the policy controls in Settings > Expenses to inspect the limits and conditions that apply. Save a change, then check the relevant New Expense flow and review view. The app can say Expense submitted, but it exceeds a spending policy. That means the claim reached review with a warning; it does not by itself mean the employee was blocked or the reviewer must reject it.

Help a reviewer decide

A reviewer should compare the amount and category with the policy, receipt, and business reason. A clear rejection reason tells the employee what to change before using Edit & resubmit. If a category or policy you expect is missing from a claim, check the company settings and the claim type before creating a duplicate category.
